Adding Chemicals and Kits to Your Inventory
How to add from a list:
When building your initial inventory, you may find it most convenient to add chemicals and kits by using the selection list. Select the “From a List” link on
the Add a Chemical page. There are four list options to choose from:
- Catalog Chemicals – A list of all chemicals listed for sale in the Flinn catalog.
- Kit Component Chemicals – A list of chemicals that come as part of a Flinn Scientific kit.
- Flinn Kits – A list of Flinn Kits that include chemicals.
- All Chemicals and Kits – A complete list of all Flinn chemicals, kits, and kit component chemicals.
The list option you selected will appear under the selection boxes and you may begin by selecting the check box next to the chemicals and/or kits you want to
add to your inventory. To add these items scroll to the bottom of the page and select “Add to Inventory”. To update quantity and location of these chemicals or
kits return to your main inventory page and select the chemical name you want update.
How to add a chemical or kit via keyword search:
- Type a chemical name, chemical formula, or Flinn catalog number into the data field.
Choose which chemical type you are searching for: catalog chemicals, kit component chemicals, Flinn kits, all chemicals and kits. Click the” Search” button
and results will be listed below the search box.
- Select the chemical you are looking for and a chemical or kit information screen will open.
- Scroll to the bottom of this screen to input the location of the chemical or kit and the quantity on hand.
- Click the “Submit” button, and the chemical or kit listing will be added to your inventory.
What are all of the abbreviations for quantity sizes?
(bt=bottle) (ea=each) (g=gram) (gal=gallon) (kg=kilogram) (L=Liter) (lb=pound) (mL=millileter) (oz=ounce) (pkg=package) (plt=plate) (qt=quart) (vl=vial)
How to add a chemical manually:
Click on the “Add Manually” link on the “Add a Chemical” page. A page will open up with all the necessary data fields that you can fill in. None of the fields
are mandatory, you may fill in whatever chemical information you desire. The “add manually” feature may be used for any non-Flinn chemical you have on hand.
Once all information is entered, you may click the “Submit” button to add the chemical to your inventory list.
How to find SDS information for a chemical I added manually:
Flinn Scientific has a full SDS search library available Here. You may enter your chemical name into this
search or browse by alphabetical index. The SDS for your specific chemical will include the GHS pictograms, GHS hazard statements, and GHS signal words.
The Online Chemventory keyword search scans our entire Flinn chemical database for chemical name, synonym, formula, etc. If there is a match for your keyword
term in any of these fields, that chemical will be listed in the search results.

Flinn Scientific Kits and Kit Components
When I receive a kit from Flinn do chemicals need to be taken out and stored by compatible family?
A chemical kit from Flinn Scientific may be added to a storeroom as packaged. Kits are packed to properly segregate chemical families and allow for storage as
packaged. This full kit item may be added to your Online Chemventory database by using the “From a List” or “Keyword Search” function.
Can I see what chemicals are included in a full kit that is added to my inventory list?
You can select the kit name in your inventory list to see all the chemicals that are included.
Can I view and print Safety Data Sheets (SDS) for chemicals that are part of a kit?
There are two options for viewing SDS for a kit.
Select the “SDS” link icon associated with this kit in your main inventory list. One PDF that includes SDS for all the chemicals included in that kit
will open that can be viewed or printed.
Select the kit name in your inventory list to see all the chemicals included. Kit component chemicals that have an associated SDS will include a link
to that PDF next to the chemical name.
How do I add kit component chemicals to my inventory list after a kit is opened?
Once you open a Flinn kit, all component chemicals that are not used and placed back into your inventory should be stored according to compatible chemical family.
To add these chemicals to your inventory list, first find and select the kit name in your inventory list. Click the button on the kit information page to
“Add Kit Component Chemicals to Inventory”.
- All component chemicals that were included in that kit will be added to your inventory list as individual chemicals.
To quickly find these kit component chemicals in your inventory list, type the catalog number for the kit in the inventory list Keyword Search. Component
chemicals in your inventory that were part of that kit will be displayed. Each individual chemical listing can then be updated with storage location and
quantity on hand information.
Why can’t I add a kit component chemical to a purchase list?
Flinn Scientific does not sell component chemicals that are part of a kit as individual items. In most cases, we do sell the identical chemical in a different
package size. Use the Keyword Search found on the “Add to Purchase List” page to find a comparable item that can be added to your purchase list.
Managing Your Inventory
Can I save a back-up of my inventory?
Flinn Scientific will back-up your data on our web servers nightly. Please note, Flinn will only back up the program and inventory databases as a whole, and
will not be able to recover individual inventory databases if they are deleted by a user.
You may choose to keep inventory information backed up on your local computer. To complete this task, use the Export function on the inventory page and save a
copy of your inventory list to a .CSV file that can be saved on your computer. If you ever make any unintended changes to your inventory list and want to
revert back to this file you can use the import function in Online Chemventory to find this file and add the contents back to your inventory list. Please note
that importing a .CSV file will not overwrite any current data in your inventory. The items will be appended to the end of the list.
The .CSV file must also not be modified after it is saved to your computer. Any changes made to this file outside of the Online Chemventory program may cause
data to display incorrectly when imported.
How do I use the Inventory List function?
You have the option to perform specific tasks for more than one chemical in your inventory by using the “Inventory List” function. Select the checkbox next to
the chemical name you want to include or select the “All” box in the green inventory list header. The following options can be performed through the “Inventory
- Delete Chemicals
- Print Inventory List
- Email Inventory List
- Print Chemical SDS
- Send to Label Print Queue
- Send to Purchase List

You may sort your inventory at three levels using the “Custom Sort” function. Select from Chemical Name, School Location, Store Room Location, Shelf Location,
and Compatible Family. Choose which classification you want to sort by first, second, and third, or by just two levels.
How do I use the Inventory List keyword search?
You may use a keyword to search your inventory for a specific chemical or a selection of chemicals. The keyword search will check each data field in your
inventory for match and provide results in your Inventory List. After you receive results you will be able to sort that specific selection of chemicals and
perform inventory list functions for that selection. Select the “Show All” link located on the upper right portion of the inventory page to view your entire
How do I update my chemical information?
Click on the name of the chemical you would like to update in your Inventory List. A screen will open displaying the information for that chemical. To update

the amount on hand, select increase or decrease and then input that number. Once completed, click the “Update” button and the amount will be changed in your
Why is there no SDS link for some chemicals in my inventory?
Some chemicals that Flinn Scientific sells do not require an SDS (Safety Data Sheet). In these cases, a link to an SDS will not be provided. The Online
Chemventory program also does not provide SDS links for chemicals that are manually entered. You may enter a URL link to any SDS that is available online. Read
detailed instructions on how to complete this task here.
How can I add multiple bottles of the same chemical?
There are two options for adding multiple bottles for one specific chemical.
You can combine your inventory into one listing, for example if you have (4) 500-mL bottles of hydrogen peroxide, they can be combined into one 2-L
listing when you are adding your chemicals to your inventory.
You can enter the same chemical four times. For example, if you have (4) 500-mL bottles of hydrogen peroxide, you can make four separate entries when
you are adding the chemical to your inventory. This option works well if you have multiple bottles in different locations throughout your school.
How do I view a Safety Data Sheet (SDS)?
Simply go to your Inventory page and click on the “Eyeball” icon for the chemical you want to view. The SDS will open as a PDF.
How to print a label for a chemical in my inventory?
Click the title of the chemical to open the “Chemical Information” page. Once on the “Chemical Information” page, click the “Add to Label Print Queue” button
in the gray navigation bar. Your chemical information will be loaded into the “Create a Chemical Label” page. From there you may edit any of the fields and add
the chemical to your label print queue.
Can I move a chemical listing from one database to another?
Chemical listings are not interchangeable between multiple databases. If you are a member of more than one Online Chemventory and want to move a chemical
listing between databases, the listing will need to be deleted from the first database and then re-entered into the other database.
How to remove a chemical listing from your Online Chemventory™:
Select the check box next to the chemical name and click the “Remove Selected” button at the top of the inventory list.
How to print your inventory list:

your printer. Your print list will include the chemical name, school location, store room, shelf location, and amount on hand.
How to email your list:
Select the check box next to the chemical name(s) that you would like to print. To print your entire list select the all check box in the list header. After
making your selection, click the “Email Selection” button at the top of the inventory list. Enter the name and email address for the recipient and click Send.
An email will be sent with a copy of your inventory attached in .CSV format that can be opened in Microsoft Excel.
How to export your list:
Click the “Export” button in the gray navigation bar of the Inventory page. This will take your chemical inventory information and convert it to a .CSV file
that can be opened in Microsoft Excel. You should then receive a notice from your browser that will ask if you want to open the file or save it. The following
information for every chemical in your inventory will be included in the export: Chemical Name, Synonym, Catalog #, Chemical Grade, Disposal #, CAS#, Chemical
Class, Compatible Family, School Location, Store Room, Shelf Location, Unit of Measure, Last Used Date, Minimum Reorder Amount, Amount on Hand, Comments/Notes.

Click on the “Invite New User” button that is located on the gray navigation bar of the “Manage Users” page. On the “Invite New Users” page, you will need to
enter the first name, last name, email address, and role. An email will be sent to this individual with a 10-digit Invite Code and a link so they can join your
Online Chemventory database. Flinn Online Chemventory allows you to invite an unlimited number of others to join your Database for no additional charge. There
are three different “Roles” that you may assign to a new user. These are described below.
What are the three different role options for users?
Database Administrator – The user who activates the registration key and creates the database is automatically given this role. A database administrator
has the permission to do the following functions in Online Chemventory: add chemicals, delete chemicals, update inventory quantity, add chemicals to a
purchase list, create and print GHS labels, invite new users, change the role of current users, and disable users. Any new user you invite as a database
administrator will have these same permissions.
Normal User – This is the role that is recommended for most users who you invite to join your Online Chemventory database. A normal user has the ability
to do the following functions in Online Chemventory: add chemicals, delete chemicals, update inventory quantity, add chemicals to a purchase list, and
create/print GHS labels.
View Only ̶ This role is recommended for those users who are not using the chemicals listed in the inventory, but would like access to view what is
currently on hand. Your school principal, safety officer at the district, or even the local fire chief are examples of whom should be given this role.
The only permissions given to a view only user is the ability to view, print, email, and export an inventory list. A view only user will not be able to
make changes to inventory items and will not be able to print GHS labels.
How to disable a user:
Anyone listed with the role of database administrator has the ability to disable a user of the Online Chemventory database. To complete this function, go to
your Manage Users page. On the right side of each user listing is a check box that will be marked if the user is enabled. To disable the user, uncheck this box
and click “Submit user change”. If at any point you would like to re-enable this user all you need to do is check the enabled box and click “Submit User Change”.
How to change a user role:
Anyone listed with the role of database administrator has the ability to change the role of other users in your Online Chemventory database. To complete this
function, go to your “Manage Users” page. Each user listing has a dropdown box where you can select from the three permissions listed above. Once you have
selected an updated role for that user, click the “Submit User Changes” button.
